We collect personal information about you when you voluntarily submit information directly to us or to our website contact forms. This can include information you provide to us when you telephone us, complete a form, correspond with us, leave us a testimonial, or email us.

Contact details: We collect contact information such as your name, your email address, your telephone number and physical address.

Payment and transaction information: We keep records of the goods we supply to you. These are kept in two ways; your digital records are kept on a secure PC, which is password and pin protected and paper contact forms which are kept in a locked drawer. Furthermore, Sovereign Bathrooms Winchester Limited uses Easy Quote, which is a customer, ordering and quotation database. It is a fully protected and secured software, which is accessed from the secure PC. Your transaction information is also kept on our accounts package, Xero. Xero is installed on another PC and is pin and password protected. Xero is also accessed in the same secure way, buy our Accountants T&A Kirk Ltd, Registered Office Address Silverthorn Hendra Close, Ashton, Helston, Cornwall, UK, TR13 9SS, so they may process VAT and tax returns. Although we keep records of your transactions, we do not store any financial details. If you pay via card, using our machine, the merchant copy of the receipts is attached to your invoice and kept for accounting purposes. The merchant receipt displays only the last 4 digits of your card number. If you pay over the phone and do not request the customer receipt, these are filed in a secure drawer. At no time do we store any card information.

Your preferences: We do not store or use marketing preferences on our website.

Information provided by other users: We do not obtain information about you via third parties. All information we hold, is provided voluntarily by you.


  1. How we use your personal information, and what our legal basis is for this use

We process your personal information for the following purposes:

To fulfil a contract This is relevant when you order goods through us. This includes:

  1. a) Processing your payments.
  2. b) Communicating with you about the supply and about queries, issues or concerns you may have.
  3. c) Providing customer service and support

As required to conduct our business effectively and pursue our legitimate interests.

If you are using Concept Installations (Southern) Ltd to install the goods we are supplying, your surname, the name of the town you live in and the start date of your installation, is written on a board in the office. This is so staff know when your installation is scheduled. Members of the public do not have access to the office and Concept Installations (Southern) Limited have their own privacy policy in place.

We may share your surname and address with suppliers when goods are delivered directly to you. You can request that we notify you when this is necessary.

We do not use your personal information for marketing and advertisement,

 

We may share photographs on our website and/or company Facebook page. No personal information about you or your home is used or shared.


  1. Storing and transferring your personal information

Cookies and Local Storage: Our website does not currently use cookies.

Security: we implement appropriate technical and organisational measures to protect your personal information against accidental or unlawful destruction, loss, change, or damage.

  1. How Long we keep your personal Information 

Your information is secured in a locked cupboard and then archived and stored in a locked cupboard for the required 7 years.

You have the following rights in relation to your personal information:

(i) the right to be informed about how your personal information is being used;

(ii) the right to access and receive a copy of the personal information we hold about you;

(iii) the right to request the correction of inaccurate personal data we hold about you;
